Exceptions and Data Validation
Automation doesn’t mean any combination of data produces a valid document. The workflow checks the data before generation — missing required fields, values outside the expected range, references that don’t match (e.g. a nonexistent client code) — and stops the generation of that specific document, flagging the exception to a person, instead of producing an incorrect document that gets sent automatically. The rest of the batch continues normally — one exception doesn’t block the entire workflow.
Approvals, Where Needed
Not all automatically generated documents should be sent automatically. For high-value or contractually significant ones (quotes above a certain threshold, invoices with special terms), the workflow can include an approval step — the document is generated but stays pending until an authorized person confirms it, before delivery.
Versioning and History
Every automatically generated document remains linked to the data and template used at the time of generation — if a template is later modified, older documents remain unchanged and reproducible, and generating a corrected version doesn’t overwrite the original but creates a new, traceable version.
Audit Trail
For documents with financial or contractual relevance, what matters isn’t just the final document but also the history: who or what triggered the generation, from what data, when, whether it was approved and by whom, when it was delivered and to whom. This log is useful both internally (reconstructing a situation) and in an audit or compliance context.
Electronic Signature
For documents that require a signature (contracts, meeting minutes, some types of quotes), the workflow can integrate an existing e-signature provider, so the automatically generated document goes straight into the signing process, without a manual download-attach-resend step between generation and signing.
Security
Data used for generation (client information, amounts, contractual terms) is treated as sensitive: access to the generation workflow and the document archive is role-restricted, and transfers to external destinations (email, portal) use encrypted connections. We don’t store card data or credentials in this workflow.
